Job Title: Office Manager – Mobile Primary Care Operations

Job Description: 
We are seeking a dedicated and organized Office Manager to oversee the daily operations and administrative functions of our mobile healthcare team. In this role, you will play a key part in supporting our field-based Nurse Practitioners, coordinating logistics, managing scheduling, and ensuring the smooth execution of operational and billing processes. You’ll help maintain compliance, streamline workflows, and support Odyssey’s mission to provide exceptional care through technology-driven, patient-centered systems. 

This is a contracted position with the potential to transition to a traditional W2 employee role by 2026. 

 

Responsibilities: 

  • Oversee daily administrative and operational activities for the mobile primary care program. 
  • Coordinate provider schedules, patient assignments, and visit logistics. 
  • Request and collect patient records as needed for labs, testing and hospital visit notes.
  • Assist NP with uncontrolled RX refills and tracking of controlled substances for refill dates.
  • Coordinating F2F encounters with clinical staff for patients on the Remote Patient monitoring program.
  • Coordinating with provider for signature on outside provider orders 
  • Assisting Provider with scheduling and faxing of orders to local vendors and hospitals for ordered testing.
  • Support billing and documentation workflows by ensuring accurate and timely data entry into the EMR.
  • Submission of prior authorization for services rendered and medication when requested from pharmacists.
  • Serve as the primary liaison between field-based NPs, administrative staff, and leadership. 
  • Manage communication with care facilities, patients, and families to support scheduling and follow-up. 
  • Monitor completion of required documentation and compliance tasks. 
  • Assist with onboarding and training of new providers and administrative staff. 
  • Track key operational metrics such as visit volume, patient onboarding, and provider productivity. 
  • Collaborate with leadership on process improvements and quality assurance initiatives. 
  • Help implement technology platforms and ensure staff adoption of digital tools. 

 

Qualifications: 

  • LPN degree, or Medical Assistant preferred. 
  • Prior experience in medical office management, care coordination, or healthcare operations required. 
  • Strong organizational and project management skills with attention to detail. 
  • Proficiency with EMR systems and digital healthcare platforms. 
  • Excellent communication, problem-solving, and multitasking abilities. 
  • Ability to work independently and manage competing priorities in a dynamic environment.
